Make a Reservation
The Student Activities Center and Stony Brook Union are home to over 17,000 events each year. Our spaces are available for everything ranging from single meeting spaces to building-wide conferences. Recognized student clubs and organizations should place reservations through their Student Activities Advisor. All other event organizers may reserve space in either the Student Activities Center (SAC) or Stony Brook Union (SBU) through the Facilities Reservations Office. We are committed to processing all reservation requests within 2-business days. Our team of Reservations Assistants is available to assist you with all of your event planning needs and are happy to conduct a walk-through of any spaces with you. Reserving space in the Student Activities Center (SAC) and Stony Brook Union (SBU) may be done in four easy steps:
1. Check to see if space is available for your event
By using our online events calendar you can check to see events already scheduled in the SAC & SBU. Choose your preferred date and time to see what has already been booked and what is available.
2. Complete the Reservation Request Form and submit to the Reservations Office via e-mail at sacsbureservations@notes.cc.sunysb.edu
3. Review our terms of use , policies and procedures manual , event planning timeline and Guide to planning ADA Accessible Meetings & Events
4. Complete and submit to the Reservations Office any additional paperwork necessary for your event. Do you
- Plan to use any A/V support outside? Complete the Amplified Sound Request form
- Plan to have any alcohol at your event? Review the appropriate policies and submit the Student Affairs Request to Serve Alcohol
- Need to sell any tickets? Contract to use the USG Ticket Office
- Need additional professional security services for your event? Contract Concert Security Specialists
- Need security for your event? Contract USG Event Staff to assist you.
- Need access to bring heavy vehicle equipment onto the SAC Plaza or Academic Mall ? Place a request to the Director of Facilities Operations
- Need dedicated University Police presence at your event? Request University Police Officers
- Plan to have a DJ or band perform your event? Please complete the Security Check Application
- Need a DJ or a cat walk for your event? For additional A/V resources contract USG A/V .
- Plan to sell anything during your event? Complete the Application for Vendor Permit with FSA
- Plan to have a caterer? While we always recommend the convenience of Campus Catering, we welcome event organizers to arrange to use the caterer of their own choosing. All off-campus caterers must follow the campus Food Safety policies & procedures and submit the Food Permit Application to the Reservations Office at least 10 days prior to the event.
- Plan on having your event in the SAC Plaza? Complete the Request for Outdoor Grounds for clean up and extra garbage cans.
